The Elite College Showcase TOURNAMENT RULES & GENERAL INFORMATION
Check in Information: Each Team MUST check-in at the Main Tournament Desk at Heritage Yards Complex at least 1 hour before their first game. At check-in, teams must submit a copy of their teams insurance and appropriate sanction proof. Teams will receive their team packet at that time which will have their players i.d. bracelets and other important info in them.
College Coaches Only: No players, team coaches, or parents/spectators will be allowed in areas designated "College Coaches Only". This includes the Hospitality Tents and the Scouting Areas that are designated at each park. Please make sure to discuss this issue with the players, parents and fans that are with your team.
Rules: We will be following ASA rules with some College Showcase exceptions. Bat the roster, free substitutions. ABSOLUTELY NO STALLING TACTICS. WINS MEAN NOTHING IN THIS SHOWCASE IT IS TO SHOWCASE THE PLAYERS ABILITIES NOT THEIR COACHES ABILITY SO NO STALLING WILL BE TOLERATED!
Showcase Format: 5 gg.
Lineups: You do not need to turn in lineups as Showcase rules indicated there will be free substitution and unlimited batters in the batting order so the need for a official lineup is not necessary. (A lineup needs to be submitted in the July showcase, only if the single elimination bracket is in effect, but free substitution and bat the roster will still be in effect.)
Game Time: Official game will end at 7 innings or 1 hour 30 minutes with the finish the batter rule. Obvious delay of game tactics will not be allowed by umpires. Remember - the college coaches want to see girls playing, not coaches trying to stall out the clock.
Uniforms: Uniform shirts must be numbered. Pick up players may wear their original team’s uniform. No duplicate numbers allowed. No jewelry other than post type earrings in ears is allowed. Post type earrings in ears may be worn but must be taped. Umpires will be the judge in jewelry matters. If the umpire deems the earring unsafe, then the player must remove them with no argument. Metal cleats are allowed for the Camps and Showcases.
Protests: This is a non-protestable tournament. Rule disagreements will be settled at the time by the home plate umpire. Please don't argue. Remember the spirit of the tournament. College coaches don't want to spend their time watching arguments. Teams that refuse to play when umpire says "Play Ball" could be penalized, upon review of tournament director, with forfeit of all remaining games.
Housekeeping: Please assist in keeping the dugouts clean for the next team, by picking up your trash after the game and placing it in the trash cans provided in the dugout.
Forfeits: Forfeits are to be avoided at all costs. Forfeits are at the discretion of the Tournament Director at your location of play. If you are short a player (due to injury or other unforeseen circumstances) and need one to keep you from forfeiting, please contact the Tournament Desk or Tournament Director immediately. Temporary replacement players may be available, but we do need some notice. To avoid a forfeit, you are allowed to borrow a player from another team. However, you must receive approval from the Tournament Director to do this. Forfeits benefit neither team since the objective of the tournament is for the girls to be seen on the field by the college scouts!!!
Teams that forfeit a game for any reason, risk not being accepted into this Showcase in the future. If you are unable to play a game, you must advise the tournament officials, plus it is recommended that you attempt to find a replacement team for your game. You are ultimately responsible to make sure that your opponent is not shorted their opportunity to showcase their players. Dugout Assignments: Teams listed on top of the game bracket chart will be in the first base dugout; however, teams with back to back games on the same field will not be required to change dugouts. Home team is determined by coin toss.
Weather Contingencies: In case of uncontrollable circumstances or interruptions due to weather, the Tournament Director reserves the right to alter the tournament format in any way necessary to reach a conclusion. This can include, but may not be limited to, shortened game times, fewer games guaranteed, or playing rule changes. Games interrupted might not be resumed. Everything possible will be done to get the players on the field as soon as possible.
Weather Hotline: Elite Sports utilizes Social Media outlets, such as Twitter & Facebook to relay weather related delays, game changes, etc. Follow us on Twitter @eliteshowcase and Facebook @EliteCollegeShowcases. Your Responsibility: It is ultimately the responsibility of the team managers and coaches to verify their schedule daily to make sure that no changes have been made. We do what ever we can to make it easy for you to be notified of changes, but you must do your part. Please be diligent on a daily basis, especially if there have been circumstances that could cause schedule changes. Also it is the responsibility of the team managers and coaches to know their field assignments, times, etc, for all games. The Official Tournament Board will be maintained at the Main Tournament Desk next to the College Coaches Hospitality tent at the main complex. Please verify your game schedule occasionally at the Main Tournament Desk. Teams that no-show a game risk being replaced in their other games, and also may not be invited to future tournaments. Formats: June showcase schedule is Player camp will be on Friday morning showcase exhibition games will begin at 6:00pm that evening and continue through Sunday. July showcase schedule is Player camp will be on Thursday and showcase pool games will begin at 8am on Friday through Sunday (or Saturday evening,if we us a single elimination tournament for the top team from each pool will be conducted on Sunday). October showcase schedule is Player camp on Friday morning showcase exhibition games will begin at 6:30pm that evening and continue through Sunday. November showcase schedule is Player camp on Friday morning showcase exhibition games will begin at 6:30pm that evening and continue through Sunday. It is possible, due to the number of fields available, that games may start the same evening as the Player Camp is hosted so insure you verify your schedule.
Injuries: Limited Emergency First Aid supplies will be available at the Tournament Desk at each location. It is recommended that each team bring their own first aid supplies. If a injury occurs, the Tournament Director should be called for assistance, and in severe cases a Ambulance may be called. Any Player, Coach, Umpire or Spectator who when injured seems to have been unconscious for any amount of time or who are experiencing neck/head injuries should not be moved off the field.
Unsportsmanlike Conduct: Managers/coaches are responsible for their own conduct and for that of their players, assistants and spectators. Abusive language and/or unsportsmanlike conduct will not be tolerated in any degree. Noisemakers, whether homemade or store bought, are not allowed. Coaches, players, and spectators may be ejected from the game if in violation of this rule. The initial "cooling off period" is the rest of the game. Any manager, coach, player or spectator who is ejected from a game may/will have their behavior reviewed by the Umpire in Chief and/or the Tournament Director, and the "cooling off period" may be extended from one game to the rest of the day and even to the rest of the tournament, depending on severity of conduct. Any manager, coach, or spectator who is ejected must leave the park for the duration of the cooling off period. A player who is ejected will be restricted to the dugout for any games during the cooling off period and will not be allowed to play in any games in any manner for the rest of the cooling off period. This is a severe penalty so be on notice that misbehavior on the part of players, coaches or spectators will not be tolerated. Managers/coaches may be held responsible for players and spectators behavior also. If any one who has been ejected fails to follow umpire instructions or fails to abide by the cooling off period, the team will be ejected from the tournament. The Elite Showcase has a "zero tolerance" policy.
Warmup Area: Pre Game Warmup is to be conducted only in the Warm up areas or in the grass outfield areas on fields with temporary fencing. Any team may use any of these allowed areas. In Addition there is to be no throwing of balls or batting in or near the sidewalk areas. There is to be no hitting of balls or throwing of balls into permanent or temporary fencing. Any player warming up a pitcher must wear a catcher's mask.
Lightning Detection System: Many parks are equipped with a lightning detection system that detects/predicts lightning and/or lightning conducive conditions within a 10 mile radius of the park. If the warning is sounded, all players, coaches and spectators must leave the area and take shelter in their cars or other secure place until the all clear is sounded. The system will sound the all clear within 10 minutes of no lightning or lightning conducive activity. If the park does not have an automated notification system, tournament or park staff will relay the warning and the all clear to the umpires. Please cooperate.
Wristbands: All players must wear the appropriate colored wristband during the entire duration of the tournament. .The wristbands will show that the players are eligible to play in the tournament, PLUS they designate to the college coaches the year of graduation of the player and their recruiting eligibility. A limited number of extra wristbands will be available at the tournament desk if a band is lost or broken, but it is recommended that the players be extremely responsible with their wristbands
Double Wide First Base: Double wide first bases are in use at all of the Parks we are using. The batter-baserunners are to use the foul side base, while the defensive player must use the fair side base. However, if the throw is coming from foul territory, then the batter-baserunner uses the fair side base, and the defensive player uses the foul side base. Avoid collisions at all costs please make sure to tell your players about this. If they get hurt and cannot play then they lose their chance at being recruited… Play it smart!!!
Cancellation/Refund Policy: Teams do not receive a refund after they have reached appoved status. There will be no refund of entry fees due to uncontrollable circumstances, such as weather. Teams withdrawing after the schedule has been posted will not be offered a refund or a rollover of their entry fee. These late withdrawls affects several other teams besides the team withdrawing. Please plan accordingly.
Practice Games: Practice games are on a first come - first served basis, and will be awarded to teams based on available scheduling constraints. If more than one game is requested by a team, the extra games will be awarded if available based on scheduling constraints and fairness to other teams. Games are available to teams who are participating in the showcase and to teams who were not accepted in the tournament. Games will be 1 hour and 15 minutes long. Same rules apply to the practice games as in the showcase games. Balls and 2 umpires will be provided. The fee for a practice game is $40.00 + the $35.00 cash umpire fee to be paid at the plate as normal.
Official Ball: We will use the Diamond Yellow Optic .47 core ball, supplied by Elite Sports, during the tournament. Diamond is an official sponsor of the tournament.
Pick-up Players: Teams are highly encouraged to bring more than 9 players to the tournament. A roster of 11 is recommended in case of injuries or illness, especially since forfeits are not allowed.
Hotels: Elite College Showcases are stay and play events. We work with the event city and their local hotels to get competitive pricing for our teams and college coaches. As such, each non-local team is required to stay in only approved hotel properties. This is also part of our agreement with each city that we host our events at. Teams found to be staying at properties other than the approved properties stand to be removed from the event and no refund provided.
The tournament committee reserves the right to disqualify any team or any player to preserve the integrity of the tournament. Teams and players will be reviewed to determine, and ensure, eligibility. Teams or players may be subject to disqualification at any time with no refund. This is an invitational tournament.
THIS IS A COLLEGE SHOWCASE AND THE COLLEGE COACHES ARE HERE TO SEE YOUR PLAYERS PLAY BALL. PLEASE MAKE SURE TO ENCOURAGE YOUR PLAYERS TO HUSTLE ON AND OFF THE FIELD AT ALL TIMES SO THAT THEY CAN GET IN AS MANY INNINGS AS POSSIBLE IN EVERY GAME. WE ALSO EXPECT FOR THE COACHES OF ALL TEAM TO ADHERE TO…. ABSOLUTLEY NO STALLING!!! ABSOLUTLEY NO KILLING THE CLOCK!!! NO PROLONGED ARGUMENTS OVER CALLS WITH THE UMPIRES!!! PLAY EVERY GAME OUT TILL THE END. THIS IS A SHOWCASE FOR YOUR PLAYERS NOT OUR COACHING ABILITIES OR WIN / LOSS RECORDS SO LET US AS COACHES STAY AS LOW KEY AS POSSIBLE AND LET OUR PLAYERS PERFORM.
